Privacy Policy

Effective October 15, 2026

1. Who we are

RetroFlowCX ("we," "us") operates the RetroFlowCX sales-assistant platform for RetroFoam dealers.

Contact: hello@retroflow.cx

2. Information we collect

When you request a demo through our website, we collect the name, phone number, and email address you provide, along with your SMS consent status.

When an authorized business user connects Google Calendar or QuickBooks Online, we access information from the connected account as described below.

3. Google Calendar access

When a dealer connects Google Calendar, RetroFlowCX requests read/write access to check availability and create, update, or cancel appointments on the connected calendar.

We retain appointment records, provider identifiers, and scheduling-operation history needed to operate and reconcile appointments. Calendar occupancy titles and descriptions displayed by the current calendar integration are not retained as appointment content.

You can revoke RetroFlowCX's access within RetroFlowCX or at myaccount.google.com/permissions. Revoking access stops future requests to the connected calendar; it does not automatically delete appointment records or scheduling history already held by RetroFlowCX.

RetroFlowCX's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

4. QuickBooks Online

When an authorized business user connects QuickBooks Online, RetroFlowCX accesses the selected company's accounting information to support invoicing. This includes company information; customer names, contact details, and addresses; accounting items, accounts, tax settings, and payment terms; invoice details and PDFs; and invoice-linked payment amounts, dates, allocations, and outstanding balances.

We use this information to validate invoice setup, prepare invoices from accepted quotes, create customer and invoice records after operator approval, verify the resulting invoices, provide invoice PDFs, and refresh accounting payment status when requested.

We store the connection information, accounting references, invoice records, PDFs, payment observations, and operational history needed to provide these functions. QuickBooks authorization tokens are encrypted in storage, and invoice PDFs are stored privately with authenticated access.

In the current workflow, the dealer reviews payment options and sends invoices from QuickBooks. Payments are handled through QuickBooks and its payment providers. RetroFlowCX displays accounting payment information; it does not provide the payment checkout.

RetroFlowCX operates independently of Intuit. We do not process information on Intuit's behalf. Intuit's handling of information within QuickBooks is governed by its own terms and privacy statement.

Disconnecting QuickBooks disables RetroFlowCX's use of that connection for new QuickBooks requests. Disconnection does not automatically delete previously stored invoice records, PDFs, or payment observations.

5. How we use information

Demo form data is used to deliver the SMS/call demo you requested and to follow up about RetroFlowCX. Calendar information is used to check availability, manage bookings, and reconcile appointments. QuickBooks information is used for the invoicing and payment-status functions described above.

6. Data sharing

We do not sell your information. We share information with service providers as needed to operate the features you use:

  • Intuit for QuickBooks accounting and invoicing.
  • Google services for calendars, AI processing, and private document storage, as applicable to the feature used.
  • Render for hosting.
  • Clerk for authentication.
  • Twilio for calls and text messages.
  • SignWell for electronic signatures.

7. Data retention

Demo form submissions are retained as needed to respond to your request. We retain the appointment and QuickBooks records described above to provide those functions and their operational history. Disconnecting an integration is separate from requesting deletion of information held by RetroFlowCX.

8. Your rights and deletion requests

You may request access to, correction of, or deletion of information held by RetroFlowCX by contacting hello@retroflow.cx. You can also contact us about disconnecting an integration.

Deleting information from RetroFlowCX does not automatically delete, void, or modify accounting records held in QuickBooks.

9. Changes to this policy

We may update this policy from time to time. The effective date above reflects the latest revision.
